Job Description - UGO Administrative Coordinator

The Administrative Coordinator will be responsible for overseeing day to day responsibilities of Utah Guides and Outfitters (UGO) as directed by the BOD.

The Administrative Coordinator will report to the UGO board. Primary contact will be the UGO President.

Key areas of responsibility will include but are not limited to the following:
Attend all BOD meetings and General membership meetings. Record and distribute approved minutes.
Send out yearly mailings.
Check and respond to mail from the UGO PO Box on a regular basis.
Email communication: distribute alerts and messages as directed by the President and/or BOD, follow up on UGO inquiries, meeting and trade show notice.
Maintain databases: Current membership, potential membership and inquiries, State and Federal agencies, Utah congressional delegation and Governor, UGO BOD, trade show vendors.
Maintain office supplies in line with budget.
Tradeshow setup and organization.
Work with Treasurer to stay abreast of UGO finances: Invoice membership. Provide latest Financial Reports prior to each/all meetings. Prepare in conjunction with Treasurer a UGO financial report annually for presentation at general membership meeting. Prepare 1099 annually.
Marketing: UGO calendar, response piece, quarterly newsletter, website maintenance, contact potential member, membership benefits.
Prepare and maintain a list of items requiring renewal and timeline of duties.
Prepare and present Admin Coordinator report at each board meeting.
Organize Annual Agency Meetings and Tradeshow


Qualifications:
Proficient with Google Docs, Microsoft Word, Excel, QuickBooks and Outlook.
Ability to communicate professionally with membership, vendors, and government agencies and officials.
Effective writing and communication skills.
Good organizational skills


Terms: 400 hours yearly.

Compensation: 17.50/hour
Other notes:

Compensation works out to $7000/year
8 Hours per week X 50 weeks
Time does not actually work out quite that way as more time will be required during certain timeframes, while other times less than 8 hours is required
